Planning educational trips is a vital yet complex task for teachers, requiring significant time, coordination, and attention to detail. Traditional trip management often relies on fragmented tools—manual forms, emails, and disjointed communication platforms—that create inefficiencies and stress for educators.
Chapperone is a digital platform (web and mobile) designed to streamline the school trip planning process. By centralizing logistics management, documentation, and communication, the platform aims to reduce teachers’ workload, enhance organization, and improve the overall experience for teachers, parents, and students.

Design a secure, streamlined solution that reduces the workload on educators while ensuring a seamless and engaging experience for all stakeholders, including students, parents, and school administrators. In order to achieve the goal and create an experience that carefully managed stakeholder and user needs, the team focused on the following:
To better understand the current landscape and identify opportunities for improvement, we began with a comparative analysis and a feature review matrix. This process allowed us to evaluate similar products in the market, uncover gaps in existing solutions, and explore potential areas where Chapperone could differentiate itself.
Comparative Analysis
We analyzed other platforms to understand their strengths and limitations. Most competitors focus on isolated trip management aspects, such as communication or transportation, but lack an integrated, end-to-end solution. This highlights an opportunity for Chapperone to streamline the full trip planning experience while addressing pain points like documentation and communication.
Feature Review Matrix
The feature review matrix compared Chapperone’s functionalities with competitors, revealing areas for improvement. Key opportunities include enhancing health and safety tools, integrating GPS tracking, and offering drag-and-drop trip creation features. These additions would improve workflow efficiency, boost user confidence, and position Chapperone as a comprehensive solution for educational trip planning.

Target Audience
Chapperone’s target audience includes teachers, school administrators, students, and parents, all of whom play essential roles in the educational trip planning process and face unique challenges that the platform aims to address through seamless coordination and communication tools.
Through usability testing, we identified key insights that informed our understanding of user pain points and guided the development of targeted solutions. By observing user interactions with the platform, we confirmed areas for improvement, such as enhancing communication tools, streamlining task management, and simplifying trip logistics. These findings shaped clear design solutions aimed at improving usability, boosting efficiency, and addressing the unique needs of Chapperone’s target audience.
Post-Testing Iterations and Feature Expansion
Following the usability testing, we identified opportunities to expand on existing features and refine the UX/UI design across different user roles, including teachers, admins, parents, and students. These iterations not only addressed pain points identified during testing but also introduced new features to enhance clarity, efficiency, and user satisfaction across all roles.
For the 2025 school year, the freshmen class at Crestview Academy will embark on a five-day cultural tour to Paris, France, while our team leverages usability testing insights to create a seamless and intuitive user experience for all users. Through an interactive role-play presentation, we invite you to embrace the journey and experience the platform firsthand.
Flexibility and collaboration are the keys to overcoming challenges, aligning with project goals and stakeholder expectations.
To align with our client’s goals, we provided “UX Toolkit” - tailored UX tools and methods to communicate effectively and showcase our capabilities. When it was difficult to find interview participants who are busy in schools, we worked with our client to explore alternative approaches to meet our research goals.
Future steps include continuing to refine design features based on user feedback to enhance functionality and meet evolving user needs. Explore opportunities to integrate additional features, such as budgeting tools and location-based alerts, to address gaps identified during usability testing.
